Landlord Terms

These Terms and Conditions (“Terms”) apply to all landlords and letting agents who list or manage rental properties on the Moove Platform.

By continuing to use the Moove Platform to list, let, or manage properties, you agree to comply with these Terms. If you have any questions about these terms, please contact us at [email protected].

1. Eligibility and Authority

To list a property for rent on Moove, you must either:

(i) be the legal owner of the property, or
(ii) be an authorised letting agent or representative acting on behalf of the legal owner.

By listing a property, you confirm that (i) or (ii) is true and accept responsibility for any existing contractual obligations you may have with other agents.

2. Subscription and Billing

Our services are subscription-based.

  • Subscriptions are billed monthly on the anniversary of the subscription start date.
  • Late or failed payments will result in your account being suspended until all outstanding fees are settled.

There are no minimum contract terms – you can cancel at any time. However, refunds for any unused period will not be issued.

In the event of any emergency or urgent repairs (including out-of-hours incidents), Moove reserves the right to authorise work without prior landlord approval where it is deemed necessary to protect tenants, the property, or fulfil legal obligations. In these cases, the landlord agrees to reimburse all associated costs in full. Where time permits, we will seek your approval before instructing any works.

3. Our Lettings Services

Moove provides tools and services to help you list and manage your rental properties, including:

  • Rental listings on our platform and third-party sites
  • Online applications and tenant lead management
  • Advice on pricing, compliance and letting strategy
  • Optional full property management services
  • Access to compliance tools, digital tenancy agreements, and references

Some services may incur additional charges or require a separate agreement. Where Moove is instructed to manage a rental property on your behalf, we act as an agent and facilitator only. Responsibility for the property, its condition, and any statutory compliance remains with you, the landlord. While we may provide advice, arrange maintenance or instruct third-party services, you retain ultimate responsibility and liability.

4. Compliance Obligations

As a UK-based platform, Moove and our landlord clients are subject to:

  • Anti-Money Laundering (AML) regulations
  • Right to Rent checks under the Immigration Act 2014
  • Housing Health and Safety Rating System (HHSRS)
  • Licensing and registration obligations (e.g. selective licensing, HMO)
  • All relevant letting and consumer protection legislation

We reserve the right to suspend or terminate listings that do not meet legal requirements.

5. Non-Compliant Properties

We will always advise on compliance issues and offer recommendations to help bring a property up to standard. However:

  • If a property remains non-compliant after reasonable notice, we may suspend or close your account
  • In certain circumstances, we are obligated to report concerns to the appropriate authorities

We cannot list or manage properties that breach legal or safety regulations.

6. Conduct and Behaviour

We require respectful conduct at all times.

  • Abusive, aggressive, or discriminatory behaviour towards our team, tenants, or platform users will lead to account suspension
  • Moove reserves the right to terminate agreements with landlords or agents who behave unprofessionally or inappropriately
  • Any suspected illegal activity will be reported to authorities as required by law

7. Advertising and Listings

You are responsible for the accuracy of your property listing, including descriptions, photos, and legal compliance.

Moove reserves the right to edit, reject, or remove listings that are misleading, inaccurate, or in breach of legislation.

Listings may appear on our platform, partner sites, social media, or print media as deemed appropriate.

8. Viewings and Tenant Interactions

Landlords or agents are responsible for organising and conducting viewings.

You must ensure the property is:

  • Safe and presentable
  • Accurately described
  • Available for prospective tenants to view at reasonable times

Should there be an existing tenant in the property, by law you must provide them at least 24 hours’ notice of any potential viewings.

9. Tenancy and Offers

All tenancy offers, applications, and referencing will be processed through the Moove platform where applicable.

Once a tenancy is agreed, the landlord or agent is responsible for ensuring the property is ready for move-in and legally compliant.

10. EPC and Legal Documents

It is a legal requirement for rental properties to have a valid EPC (Energy Performance Certificate), and Moove cannot market your property without one.

You must also ensure that:

  • Gas safety, EICR, and other relevant certificates are valid and available
  • Right to Rent checks are completed before move-in
  • A government-approved How to Rent guide is issued

11. Property Management (Where Selected)

If you opt for Moove’s property management service, we will:

  • Handle tenant communications, rent collection, and maintenance coordination
  • Conduct inspections and renewals
  • Ensure ongoing compliance with legal and safety obligations

Management services may incur additional fees.

12. Cancellation and Termination

You may cancel your subscription at any time, effective at the end of your billing period.
We reserve the right to:

  • Remove listings that are inactive or unresponsive for 90+ days
  • Terminate accounts that breach these terms or relevant legislation
  • Retain all fees for services already rendered or for non-compliant cancellations

13. Moove Account Suspension

We may suspend your Moove account for reasons including but not limited to:

  • Non-payment of subscription or service fees
  • Abusive or unlawful behaviour
  • Failure to act on legal or safety compliance notices
  • Refusal to cooperate with AML or identity verification checks

14. Data Protection and Privacy

We take data protection seriously. Your personal information will be processed in accordance with our Privacy Policy, available on our website.

15. AML and Legal Reporting

We are subject to AML regulations and reserve the right to:

  • Request identification documents from landlords or agents
  • Decline or terminate service if documents are not provided or fail verification
  • Report suspicious activity without notice or liability to the client

16. Limitation of Liability

Moove will not be liable for any losses (financial or otherwise) arising from:

  • Tenant conduct or failure to pay rent
  • Legal action or disputes involving the property
  • Errors or omissions in listings not created by Moove
  • Use of third-party platforms or services

Our liability to you is limited to the value of fees paid for the services in question. Moove is not liable for any damages or losses arising from the use of our platform or management services, including but not limited to direct, indirect, incidental, or consequential damages. In respect of managed properties, we shall not be liable for any breach of legal obligation, property condition, or tenant-related issues arising from your failure as landlord to comply with your statutory duties. Moove shall be held harmless for any such liabilities, regardless of whether we have arranged works or liaised with tenants on your behalf.

17. Governing Law

These Terms are governed by the laws of England and Wales. Any disputes will be resolved under the exclusive jurisdiction of English courts.
